1. What is this manual?

This document aims to enhance the understanding of using CRM ChatGPT feature. It consists of four sections: Basics, Prompts & Input Process, Real Estate Companion, and Other Utility Quick Actions. Every step is followed by a screenshot of the step. Before delving into details, some terminology will be explained.

2. What is ChatGPT and How can it enhance C21 iPH CRM?

Introduction: ChatGPT is a powerful language model developed by OpenAI, designed to understand and generate human-like text. In the context of C21 iPH CRM, ChatGPT can enhance the system by providing intelligent responses, automating tasks, and facilitating effective communication. It empowers agents with quick access to information, improves client interactions through natural language processing, and streamlines various CRM processes, ultimately boosting efficiency and the overall user experience.

1. BASICS

A. C21 iPH Agent Log-In

1.1 Go to the Main Website

B. Location of ChatGPT

1.1 To get to C21 ChatGPT, click on ChatGPT panel indicated by the red box.

1.2 You will be directed to the home page of CRM ChatGPT like the one shown below.

C. ChatGPT Agent Registration

1.1 Navigate to the Registration Page

Click on the button: "Sign Up! It's Free" as indicated by the red box inside C21 ChatGPT Home Page (Read Section A & B to know how to navigate to ChatGPT Home).

1.2 Fill Out the Registration Form

Provide the required information in the registration form, including your @c21ipropertieshawaii.com email, a strong password, and the confirmation of password. Be sure to checkmark "I accept the terms and conditions" and click on "Accept" as indicated by the red box.

1.3 Submit the Registration Form

After completing the form, click the Register button to send your registration request.

You should see this page pop up as soon as you register.

1.4 Confirmation

Upon successful submission, you will receive a confirmation email to your personal email from crm@solveeasy.com indicating that your registration request has been received. Open the email and click on Verify Email as indicated by the red box.

D. C21 iPH Agent Log-In

1.1 Go to the Home/Login Page of ChatGPT (Read Section A & B to know how to navigate to ChatGPT Home)

1.2 Enter Your Credentials

Input your username and password into the designated fields.

After entering your credentials, click the "Log In" button indicated by the red box to access your account.

Upon successful authentication, you will be redirected to the agent dashboard.

2. Prompts and Input Process

A. User Input Textbox

1.1 Using the Textbox

The textbox enables agents to input text or data for specific actions. Click or tap on the textbox to activate it, then type your text.

Ensure all necessary information is provided. There are no restrictions on input length. See the "Real Estate Companion" section for specific formatting rules for certain prompt buttons.

The textbox supports basic editing and formatting options: copy, paste, undo, redo, bold, itaChoolic, underline, bullet points, table creation, code snippets, etc.

After entering text or data, click the appropriate prompt buttons to submit. Consult the "Real Estate Companion" section for button functions.

E. Expired List SF

1.1 Understanding Expired List SF

The Expired List SF feature displays a table of single-family houses with expired contracts, allowing new agents to contact them for potential opportunities.

To view the expired list:

  1. Enter the neighborhood name followed by the year (YYYY) and month (MM) of the expired contract, along with the minimum sales price in the input textbox (e.g., "Manoa 2024-02 200000"). The date can only be from current to past.
  2. Click the "Expired List SF" button.

F. Expired List CO

1.1 Understanding Expired List CO

The Expired List CO feature displays a table of Condos with expired contracts, allowing new agents to contact them for potential opportunities.

To view the expired list:

  1. Enter the neighborhood name followed by the year (YYYY) and month (MM) of the expired contract, along with the minimum sales price in the input textbox (e.g., "Waikiki 2024-01 500000"). The date can only be from current to past.
  2. Click the "Expired List CO" button.

H. Assign Me

1.1 Understanding Assign Me

The "Assign Me" feature allows you to assign yourself to a property obtained from the Expired List SF or Expired List CO. By assigning yourself, the property becomes temporarily hidden from other users for two weeks, during which you have exclusive access to it for follow-up.

1.2 How to Assign Me

To assign yourself to a property:

  1. After viewing the results from the Expired List SF or Expired List CO, click on the "Assign Me" button associated with the desired property.
  2. The property will be assigned to you for two weeks, during which it will not be visible to other users.

I. My Expired List

1.1 Understanding My Expired List

The "My Expired List" feature allows you to view properties that have been assigned to you from the Expired List SF or Expired List CO. These properties are temporarily hidden from other users for two weeks.

1.2 Accessing My Expired List

To access your assigned properties:

  1. Clear the screen by clicking on the "Clear" button.
  2. Click on the "My Expired List" button.

After clearing the screen, click on the "My Expired List" button to view properties assigned to you.

1.3 Reviewing Assigned Properties

You can review the properties assigned to you from the Expired List SF or Expired List CO. These properties will be temporarily hidden from other users for two weeks.
